The Chairman opened the meeting at 18.30 and thanked everyone attending this AGM

MINUTES OF THE MEETING HELD ON 15th APRIL 2016

The Minutes of the previous AGM held on the 15th April 2016 were agreed and approved.

CHAIRMAN’S REPORT

How time flies! I can hardly believe it ha been 12 months since the last AGM.

Along with many other bowling clubs there was a concern this time last year about declining membership numbers. Indeed with both Pam & Richard Whiterow and Jenny & Peter Harris deciding not to renew their membership the Clubs ongoing membership numbers looked a little worrying.

So the Club was delighted to welcome two new members, Marilyn Pearce and Kevin Marwick, and also to see Gerald Moore playing again on a Wednesday afternoon.

I hope everyone has enjoyed their short mat bowls.

As the winter season once again draws to a close, Shebbear Bowling Club has much to be proud of and I would like to congratulate everyone who participated in the internal and external competitions and the various leagues. I am sure Captain Rich Clark will share with us the highlights of the season in his report.

Finally, may i thank all the officers of the Committee for working so hard and for making my role as Chairman an easy one and wish members all the best for the Summer. You may recall I only took on the role as Chairman as there was nobody nominated at the last AGM. Accordingly, I have decided not to stand for re-election.

SECRETARY’S REPORT

I would like to thank Lesley for stepping into the Chairman’s position for the past year and she has done a brilliant job of controlling our committee meetings.

Ron Lester has volunteered to take the minutes of our AGM, but unfortunately he is unable to attend this evening. Therefore I will try to take the minutes but we will also have recording machine provided by Ron, to help final copy of minutes.

These minutes will be displayed on the Club’s website, and notice board. I will also email copies to those members on our emailing list for the benefit of anyone not present tonight.

As you know, I have been the Bowl’s representative on the Village Hall Committee and have attended most if not all of their meetings during the year.

Unfortunately, they are also holding their AGM this evening, so I am unable to give you a report of their meeting but hopefully they will be able to form a committee for the coming year. There were no firm plans to increase the hall charges but I believe the new committee will look again at some increase to the current £7.50 per hour we currently pay. Probably increase up to £8 but any increase hopefully will not affect our members for 2017/18.

I have already advised them that I will not continue on their committee after today.

I believe we have two volunteers from the bowlers to replace me.

Bowls club membership. I shall be registering 19 playing members during the Summer (16 of whom volunteered for afternoon league and 11 members in the evening league) Same as last year.

Our Wednesday afternoon roll ups have been well attended throughout the Winter and I believe this should continue next year.

It has been decided again, the Shebbear will not be entering a team in the Summer Triples league this year but Tiny will book adhoc Mondayy roll ups during the Summer months for those wishing to carry on.

Now the hall booking system is electronic and anyone in Shebbear can make bookings direct to the hall booking secretary, the only persons authorised to book the hall on behalf of the Bowlers are myself, Tiny and Rich Clark. Otherwise they will be personally responsible for the hire charge.

September hall bookings will start again with Monday roll ups (7.15-8.15pm) from Monday 4th September. These bookings are already in the system.

Our Pre-Season meeting will be held on Monday 25th September at 7.30pm

Winter roll ups will commence from Monday 2nd October (7.15-9.15pm) and Wednesday afternoon roll ups from 4TH October.

I was hoping someone would have nominated themselves to the position of Secretary at this AGM but unfortunately not. I have decided that next year will be my last year as Secretary and shall resign from the committee at our next AGM. Therefore we need someone to volunteer for this post during the coming year to understand the duties of Club Secretary.

I don’t believe the duties of this position can be shared by other Committee members.

TREASURER’S REPORT

Copies of the Accounts had been distributed to all present (Attachment A)

The format I have used is slightly different from previous years but should be self expalatory. It is the format I will use in future.

Our engraving costs are higher as last year’s engraving costs, along with this year have been incorporated into the same financial year.

An accrual amount for the hire of the hall for March this year has been included in the expenditure of the hall.

The bank balance of £1970-06 does not take into account one outstanding cheque of £75 and also the accrual amount (which has yet to be paid) for use of the village hall in March 2017.

It is proposed that the accounts be audited by Geoff Pitt (auditor) for final presentation.

This proposal was seconded by Tiny Lester and agreed by members present.

CLUB CAPTAIN’S REPORT

Rich opened his report with a few words regarding the recent sad death of Maurice Martin, a founder member of Shebbear Bowling Club in 1986. Maurice was a very good bowls player and well known in both Lawn and Short Mat bowling circles, some of whom attended his funeral. He was a unique character, who showed dedication and attention to detail when bowling.

In his memory, it has been decided to have a Club Captain’s annual award to be known as the Maurice Martin Trophy, which was kindly donated to the club by Julia Woolgar.

The Club Captain will decide who will receive this award based on merit, not necessary best bowler, but someone who he decides best deserves this award.

Rich has decided that Joe Bevis should be the first recipient of this award based on his dedication displayed towards the club. The members wholeheartedly agreed with his decision.

League Results. We have had a very successful year. Despite low membership we have again managed to provide one evening rinks team and two afternoon triples teams.

The Oaks came Third in their division. Both Acorns and Stones Triples team will be promoted in their respective divisions. The Acorns came top of their division and Stones came second in their division after a close finish decided on overall points

In the Tony Stephens Shebbear got through to the semi finals against Yarnscombe (who won as usual). And in the Alan Wright competition we lost to Winkleigh in the first round who went on to win the final.

PROPOSALS (2)

Mick proposed that Ken Chamberlain be made an honorary member of Shebbear Bowling Club, based on his long standing membership since the club was founded, together with Gerald Moore who is already a Honorary Member. Proposal was seconded by Lesley Tennant and agreed by members present.

Rich Clark proposed that we consider the purchase of two electronic scoreboards that would replace the existing wooden scoreboards. It has been noted that quite a few of follow Bowls clubs have already purchased these new electronic scoreboards

The costs for two scoreboards would be £480 including Vat & Delivery. Proposal was seconded by Julia Woolgar and unanimously agreed by members present.

ELECTION OF COMMITTEE MEMBERS 2017/18

With the exception of the vacated position of Chairman, all existing committee members agreed to continue to serve again this year. Maura Marwick was nominated as Chairman by Julia Woolgar and seconded by Brenda Clark.
